What you need before you start
The short checklist that decides whether the next thirty minutes go smoothly or not at all.
Connecting QuickBooks Desktop to Nymble is a thirty-minute job when the machine is ready, and an afternoon when it isn’t. This lesson is the checklist. Read it before you download anything — two of these items can’t be fixed later without starting over.
The checklist
- QuickBooks Desktop, installed on a Windows machine, with your company file. The ODBC drivers don’t read the company file directly — they ask QuickBooks to read it for them. That means QuickBooks itself has to be on this machine, and it has to be open on the file while data is flowing.
- The QuickBooks admin user’s sign-in. Authorizing an outside application is something only the QuickBooks Admin user can do. If you don’t have that password, stop here and get it — this is the item that most often sends people back a day later.
- 64-bit Windows. The connector is 64-bit, so the driver and its data source have to be too. Mixing 32-bit and 64-bit is the single most common failure on this setup, and it produces an error that looks like a crash rather than a mismatch.
- The Nymble SQL Connector, installed and running on that same machine. Open its admin page at
http://localhost:5199to confirm. The connector only listens on localhost, so this has to be done at the machine itself or through a remote desktop session to it. - Permission to install software. You’ll be installing an ODBC driver and a background service, which needs a local administrator account.
Two rules that will save you an hour
These are the ones nobody’s documentation mentions, and both produce errors that name the wrong culprit:
- Don’t launch QuickBooks with “Run as administrator.” The driver’s helper service runs normally, and when QuickBooks is elevated and the service isn’t, Windows won’t let them talk. QuickBooks responds by trying to open a second copy of your company file and failing with “QuickBooks already has a company file open” — a message about file locking, caused by a permissions mismatch. Start QuickBooks the ordinary way: double-click it.
- QuickBooks stays open while syncs run. This is by design, not a limitation to engineer around. Nothing in QuickBooks — inventory, prices, orders — changes without someone at the machine anyway, so the connector syncs while that person has QuickBooks open and pauses when they close it.
Good to know
- Windows only. The QuickBooks drivers are Windows components. If the connector is running on Linux or in a container, it can’t reach QuickBooks Desktop from there — it has to run on the Windows machine where QuickBooks is installed.
- Windows on ARM works. If this is a Windows 11 ARM machine, including a Parallels VM on an Apple-silicon Mac, the driver and its gateway run under x64 emulation and behave normally. There’s one ARM-specific error covered in the troubleshooting lesson.
